Event MC Quote Template
Hosts for company dinners, conferences and weddings are booked for a block of time, not just the minutes on stage. Price the call time, the prep (briefing, script, the names you must pronounce) and the rehearsal, and say where overtime begins so a late-running awards night is paid for.

What to put on the quote
- Event type, audience size, the language or languages, and the dress code you will follow.
- Call time and finish time, and which segments you host and which you do not.
- Prep included: briefing calls, script, sponsor reads, guest names and titles to check.
- Who finalizes the run of show and who gives cues on the day (stage manager, AV, planner).
- Travel, a hotel night for out-of-town events, and a meal on long calls.
Common mistakes
- Quoting “two hours” when the client means two hours of speeches inside a six-hour evening.
- Writing the whole script for free because it was never a line on the quote.
- No deadline for the final run of show, so award names change minutes before you go on.
- No cancellation fee, though holding the date meant turning down another booking.
Deposit, balance and validity
A 50% deposit to book holds the date; the balance is due on the day or within 14 days of the invoice. Cancellations within 14 days of the event keep the deposit, and time past the agreed call is billed per hour. Quote valid for 14 days.
Questions people ask
Can you host in two languages?
Yes, if the quote says which languages and whether the whole program is bilingual. Two-language scripts take longer to prepare and run, so they cost more.
Who writes the script?
Either side. If you send one, we review it on the planning call; if we write it, it is a line on the quote with one round of changes.
Will you run the raffle and games?
Yes, when they are listed. Props and prizes come from the client unless the quote says otherwise.
What if the program runs late?
Overtime starts at the finish time on the quote and is billed per hour or part hour.
