Photography Quote Template
A photography quote is really two things: your time on the day and the right to use the pictures. Price the session, the number of edited images and the usage licence as separate lines.
No sign-up. Totals, tax and deposit are worked out for you; print it or save it as a PDF.
Example line items
| Item | Unit | Qty | Example price |
|---|---|---|---|
| Shoot time | hour | 3 | 150–400 / hr |
| Edited images (colour and retouch) | image | 40 | 10–40 each |
| Usage licence: web and social, 1 year | licence | 1 | 200–1,500 |
| Travel outside service area | trip | 1 | 50–200 |
| Online gallery and downloads | job | 1 | Included |
Amounts are examples before tax, not price advice. Add sales tax or VAT where it applies.
What to put on the quote
- Date, location, hours on site and number of looks or set-ups.
- How many edited images, retouching level and delivery time.
- Usage rights: where, how long, and whether the client may resell.
- Extra hours, rush delivery and cancellation terms.
Common mistakes
- No usage clause, so a portrait session ends up on a billboard.
- Promising "all the photos" instead of a number of edited images.
- Holding a date without a deposit.
Deposit, balance and validity
A 30–50% booking deposit holds the date and is usually non-refundable; the balance is due before final images are delivered. Quote valid for 14 days unless the deposit is paid.
Questions people ask
Do I give RAW files?
Most photographers do not. If you do, price them separately and say they are unedited.
How do I price commercial usage?
Scale the licence by media (web, print, ads), territory and duration rather than raising the hourly rate.
What if the client cancels?
Write the cancellation window and what happens to the deposit.
