Boxed Lunches Quote Template

Boxed lunch orders come from office managers who need 40 lunches in a meeting room by 11:45 and an invoice finance will accept. Price per box with a minimum, put drinks and delivery on their own lines, and set the cutoff for changing the count and the dietary split.

What to put on the quote

  • Price per box, what each box holds, and the minimum order (for example 15 boxes for free delivery).
  • Dietary split by count (vegetarian, vegan, gluten-free, nut-free) and how each box is labeled.
  • Delivery address with floor and suite, the arrival window, and who signs for the order.
  • Cutoff for changing numbers or the menu, usually the afternoon before.
  • Sales tax, delivery fee and any gratuity shown separately, plus the billing contact.

Common mistakes

  • Taking a count change at 9 a.m. for an 11:30 delivery and absorbing the food cost.
  • One price per box and no minimum, so a six-box order across town loses money.
  • No allergen labels, so the nut-free lunch is the box nobody can identify.
  • Promising “around noon” with no window, then arriving after the meeting has started.

Deposit, balance and validity

Regular office accounts pay on invoice within 15–30 days; first and one-off event orders pay 50% to confirm and the rest on delivery. Counts can change until 2 p.m. the day before, and orders cancelled after that are charged in full. Quote valid for 14 days.

Questions people ask

What is your minimum order?

It is on the quote, for example 15 boxes. Smaller orders can still go out with a delivery fee.

Can each box carry a name?

Yes. Send names and dietary needs by the cutoff and every box arrives labeled.

How do you handle delivery timing?

We give a window such as 11:15–11:45 and call your contact on arrival, so lunches are not left at reception.

Is sales tax included?

Prices on the quote are before sales tax, which is added on the invoice at your local rate.
