Water Heater Installation Estimate Template
Water heaters fail without warning, so homeowners usually take the first clear number they hear. Show the unit separately from the labor and say whether the job is a like-for-like swap or a conversion, because going from tank to tankless can mean a bigger gas line, new venting or a 240 V circuit.

What to put on the quote
- Unit type, fuel and size: tank gallons and first-hour rating, or tankless GPM at your incoming water temperature.
- Whether it is a straight swap or a relocation or conversion, and what that adds (gas line, venting, 240 V circuit, condensate drain).
- Parts the job adds, such as an expansion tank, drain pan, earthquake straps or a new relief-valve discharge line.
- Haul-away of the old unit, and who pulls the permit and books the inspection.
- Manufacturer tank warranty versus your labor warranty, and whether you register the unit for the homeowner.
Common mistakes
- Quoting a tankless conversion at swap price, then finding the gas line is undersized.
- Not measuring the closet or the doorway, so the taller replacement tank needs a second trip.
- Leaving the drain pan, expansion tank or venting off the estimate and adding them on the day.
- Promising hot water tonight without confirming the unit is in stock.
Deposit, balance and validity
Emergency swaps are usually paid in full on completion; tankless conversions and special-order units take a 30–50% deposit when the unit is ordered. Evening and weekend call-outs carry the surcharge stated on this estimate. Estimate valid for 14 days, since unit prices and stock change.
Questions people ask
Should I switch to tankless now that my tank failed?
It saves space and never runs out mid-shower, but the conversion often needs a larger gas line and new venting. Ask for both options on one estimate so the difference is visible.
How long does a replacement take?
A like-for-like tank swap is usually 2–4 hours. Relocations and conversions can take a full day.
What happens to the old water heater?
It is drained, disconnected and hauled away. The third line shows the charge; if you want to keep it, that line comes off.
