Window Replacement Estimate Template

Window estimates are compared opening by opening, so list each one with its size, style and install method. Say whether it is an insert into the old frame or a full-frame tear-out, because that single choice changes the price, the trim work and what the client sees afterwards.

What to put on the quote

  • Schedule of openings: room, size, style (double-hung, slider, casement) and frame color.
  • Install method per opening, and what happens to interior trim and exterior siding.
  • Glass package and the performance figures the manufacturer lists, without promising savings.
  • Lead time from order, plus the manufacturer warranty and your installation warranty.

Common mistakes

  • Ordering custom windows from rough measurements and paying for the remake.
  • Finding rotted sills on tear-out with nothing in the estimate about it.
  • Promising energy-bill savings or rebate amounts the client then holds you to.

Deposit, balance and validity

Windows are made to order, so a 50% deposit is taken with the order and is non-refundable once production starts; the balance is due when installation is complete. Rotted framing found on removal is repaired at the rate in the estimate after the client approves. Estimate valid for 30 days.

Questions people ask

Insert or full-frame: which do I need?

If the existing frame is square and sound, an insert is faster and cheaper; rot or a change of style calls for full-frame.

How long from signing to installation?

Usually several weeks for custom sizes; the estimate states the lead time the manufacturer quoted.

Can you help with rebate paperwork?

We can supply product specs and invoices; whether a program applies is for you to confirm with that program.
