Commercial Cleaning Quote Template
Sent by janitorial companies bidding on offices, clinics and shops. Facility managers compare bids line by line, so keep the nightly service (a monthly price built from square footage and visits) apart from periodic floor and carpet work, and say who buys the paper towels.

What to put on the quote
- Square footage by area type (offices, restrooms, break room, lobby) and visits per week.
- The nightly task list per area, and what is done weekly, monthly or quarterly.
- Floor types and the periodic schedule: strip and wax, burnishing, carpet extraction.
- Who supplies consumables (paper, soap, liners) and at what price.
- Insurance, keys and alarm codes, background checks and a named supervisor.
Common mistakes
- Bidding from a floor plan without walking the building and counting restrooms.
- Folding floor care into the monthly price, then doing it unpaid.
- No price review clause for when the client adds a floor or more staff.
Deposit, balance and validity
Monthly service is invoiced at the start of each month, net 30; periodic work is invoiced when done. Either side may end the agreement with 30 days written notice. The price assumes the square footage and schedule above and is reviewed if either changes by more than 10%. Quote valid for 30 days.
Questions people ask
Why is floor waxing a separate line?
It is done a few times a year with different equipment, so pricing it per square foot lets you compare bids fairly.
Can the cleaners come during office hours?
Yes, as a day porter at an hourly rate. Night cleaning costs less because the space is empty.
What if we are not happy with a visit?
Report it within 24 hours and the area is cleaned again at no charge on the next visit.
Are the cleaners your employees?
The quote states whether staff are employees or subcontractors, how they are insured and who supervises them.
