CNC Machining Quote Template

Machine shop quotes go to engineers and buyers who send a drawing and want a price per part at two or three quantities. Setup is paid once and cycle time on every part, so showing both is what lets the buyer see why 10 pieces cost so much more each than 500.

What to put on the quote

  • Drawing number and revision quoted, material and temper, and the tolerances and surface finish you priced to.
  • Price per part at each quantity, with setup shown once so the breaks make sense.
  • Outside processes (anodize, heat treat, plating) and who supplies material or certs.
  • Inspection level: first article, sampling plan, CMM report, material certs.
  • Lead time from PO and approved drawing, and shipping terms.

Common mistakes

  • Quoting from a STEP file without the drawing, then finding a tight tolerance or thread callout later.
  • Spreading setup over a quantity the buyer never orders.
  • Forgetting outside processing lead time and missing the ship date.
  • Accepting a revised drawing at the old quote price.

Deposit, balance and validity

New customers pay 50% upfront with the PO; repeat accounts are invoiced net 30. Prices apply to the drawing revision listed, and any revision is re-quoted. Cancellation after material is cut is billed for material and completed work. Quote valid for 30 days.

Questions people ask

Why does the price per part drop so much at higher quantities?

Setup and programming are paid once. At 10 pieces each part carries a tenth of it; at 500, almost none.

Can you hold ±0.0005 in.?

Often, but tight tolerances add machine time and inspection. Call out only the critical features tight and the price usually comes down.

Do you supply material certs?

Yes, when the PO asks for them. Mill certs and inspection reports are listed as lines so you know what you are getting.
