Getting started
Automations that run on a schedule
Say "every weekday at 9, send me…" in chat and your AI teammate drafts the automation. Nothing runs until you review it and click Create.
An automation is work your AI teammates do on a schedule, such as a news digest every morning or a report every Monday. You don't build a flow by hand: you describe it in chat.
Create an automation in chat
- Say what should happen and when, for example: "Every weekday at 9am, check today's gold price and email me three key points."
- Your teammate drafts an Automation Draft in the chat with:
- A name and one line on what it does.
- The schedule: frequency, days and time, which you can change right there.
- The steps: one plain sentence each, such as a web lookup or sending an email.
- If a value is still missing (who to email, for example), the draft marks it in red, and you fill it in before you can create it.
- When it looks right, click Create, or Cancel to drop it. Nothing runs before you create it.
To change it later, just say so in chat, for example "move my morning brief to 8:30". Your teammate drafts an edit that says what changes, and it takes effect when you click Update.
First time? On the Automations page you can also click Try a sample automation or Describe one in chat.
Manage them on the Automations page
The Automations page lists everything you have set up, with Active, Paused and Runs at the top. Open one to:
- Run Now: run it once right away instead of waiting for the schedule.
- Pause / Resume: stop it for now and switch it back on later.
- Run History: when each run happened and whether it finished or failed.
Automations that wait for your approval
A step that sends something out, like a reply to a customer, can be set to review before sending:
- The run stops at that step and shows Waiting for your approval.
- Anything waiting for you appears under Needs you on the dashboard, and the bell lets you know.
- Edit the text if you like, then click Approve and send, or Reject.
The customer-service inbox is this kind of automation: each customer message gets a drafted reply, sent only after you approve it.
Good to know
- AI steps and web lookups in an automation use platform AI points, or your own AI key on Pro and above. See Platform trial allowance for how points work.
- Automations that send mail or plan your calendar need Google connected first.
- How many automations can be on at once depends on your plan; see Plans and pricing.
