Getting started
Documents and your knowledge base
Put your price list, FAQ, contracts and other files in Documents. Your AI teammates answer from them and show which file they used.
The files in Documents are your knowledge base. When your AI teammates answer a question or draft a reply to a customer, they look here first, and the answer shows which document it used.
Bring in your material
Open Documents in the left menu and press New at the top right:
- Upload: PDF, Word, Excel, PowerPoint, CSV and text files. You can also drag files onto the page.
- Add URL: paste a web page address and its content is fetched and indexed.
- Transcribe: upload a recording or video and the transcript goes into your knowledge base. Transcribing uses your own OpenAI, Gemini or Vertex key, which needs Pro or above; add one under Settings → LLM Providers first.
Files your teammate made in chat (Excel, Word, PDF and so on) can also be saved: in the chat's Results, click Save to knowledge base.
A new document shows Processing first. Once it shows Searchable, your teammates can find it.
Organise with folders
- Folders are on the left. Documents in Personal can be used by any chat that is not in a project.
- Click New folder to create one. A folder is also a project: documents in a project folder are read only by that project's chats. Use this to keep different clients or jobs apart.
- Drag files onto a folder on the left to move them.
- Click to select, double-click to preview, right-click for more, such as rename, delete or use in chat.
Choose whether a chat uses your documents
Under the message box there is a Documents button (it reads "Documents: Auto" by default) with three settings:
- Auto: documents are used only when they are relevant, and the answer says which one. This is the default.
- Only the ones I choose: only the documents you tick are read.
- Off for this chat: no documents at all, like a plain chat.
If one answer should not use documents, click Answer again without documents under it.
When a document has a problem
- A document shows Failed or Re-index recommended: click Retry indexing on that document.
- An answer misses something you know is there: check the document shows Searchable, and that it sits in a folder this chat can read (a project's chats read only that project's folder).
Good to know
- The customer-service inbox also drafts replies from the price list and FAQ in your knowledge base. See Connect your LINE Official Account and Connect Google, Notion and other services.
- Storage depends on your plan; see Plans and pricing.
